Orders & purchasing

How do I place an order?

A customer account is required to place orders. Register at darwin-microfluidics.com/login.php, then browse our catalogue, add items to your cart, and proceed to checkout. If you need a formal quote before ordering, use the "Get a Quote" feature once logged in, or contact us at contact@darwin-microfluidics.com.

Can I request a quote before ordering?

Yes. You need a customer account to request a formal quote. Once logged in, use the "Get a Quote" feature directly from the product pages or your cart. Alternatively, contact our team at contact@darwin-microfluidics.com with your product list and quantities and we will send a quote within one business day.

Can I modify or cancel an order after placing it?

If your order has not yet been passed to the manufacturer, we can cancel it subject to a 10% cancellation fee. If the order has already been transmitted to the manufacturer and cannot be cancelled, the full order price applies. Please contact us as quickly as possible at contact@darwin-microfluidics.com if you need to make changes.

Can Darwin process a purchase order from my institution?

Yes. We work regularly with university procurement departments, research institutes, hospitals, and corporate purchasing teams. We can issue formal quotations, pro forma invoices, and all documentation required by your institution's purchasing process. Contact us at contact@darwin-microfluidics.com to get started.

Can I order a partial shipment if some items have a longer lead time?

Yes, upon request. Darwin Microfluidics typically ships orders as a complete package once all items are ready. If you need part of your order shipped separately, contact our team and we will arrange it. Please be aware that an additional shipping fee may apply for partial shipments.

Shipping

Which countries do you ship to?

Darwin Microfluidics ships to 100+ countries worldwide. We have dedicated shipping arrangements for France, Europe, the UK, the USA, and many other regions. Contact us if you have questions about shipping to your specific location.

How long does delivery take?

For in-stock items, delivery typically takes 1 to 2 weeks depending on your location. Lead times for made-to-order or manufacturer-stocked items vary by product and are indicated on each product page. Once your order ships, you will receive a tracking number.

What are the shipping costs?

Shipping costs depend on your location, order weight, and selected service. Free shipping thresholds apply in certain regions: France and Europe (free over €350), UK (free over £310), USA and Canada (free over $400). Exact shipping costs are calculated at checkout before payment.

Do you offer express shipping?

Yes. Express shipping options are available for most destinations and can be selected at checkout. If you have an urgent experimental deadline, contact our team and we will do our best to accommodate your timeline.

My order is late or appears lost. What should I do?

First check the tracking number provided in your shipping confirmation email. If the tracking shows no movement for more than 5 business days, or if your estimated delivery date has passed, contact us at contact@darwin-microfluidics.com and we will investigate with the carrier immediately.

Customs & VAT

Will I have to pay customs fees?

It depends on your location. Orders within the European Union ship without any duty fees. Orders to the USA ship under Delivery Duty Paid (DDP) incoterms: Darwin Microfluidics pays all duties and taxes upfront and handles customs clearance. For all other countries, orders ship under DAP (Delivered At Place) incoterms, meaning import duties and local taxes are the buyer's responsibility. We recommend checking with your local customs office for more information.

How is VAT handled?

For EU customers: if you are a VAT-registered business or institution, you can provide your VAT identification number at checkout to qualify for the reverse charge mechanism (no VAT charged). For customers in France, standard French VAT rates apply and can be reclaimed through your normal VAT procedures. For customers outside the EU, Darwin does not charge VAT, but you may be subject to local import taxes. For UK customers, import VAT at 20% applies at the point of entry and is fully recoverable for VAT-registered institutions.

Do you provide customs documentation?

Yes. Darwin Microfluidics prepares all necessary customs documentation for every international shipment, including commercial invoices, packing lists, HS codes, and CE declarations where applicable. Our logistics team handles this on your behalf so your purchasing department does not need to manage it.

Payments

What payment methods do you accept?

We accept major credit and debit cards (Visa, Mastercard, American Express), bank transfer, and payment by invoice for institutional customers. You can also request a quote and pay against a pro forma invoice. If your institution requires a specific payment process, contact us and we will work within your framework.

Can I pay by invoice?

Yes. Payment by invoice is available for universities, research institutes, hospitals, and companies. Contact us at contact@darwin-microfluidics.com to set up invoice payment for your institution. We can issue formal quotations and pro forma invoices to support your purchasing process.

Is payment secure on your website?

Yes. All payments on darwin-microfluidics.com are processed through secure, PCI-compliant payment gateways. We do not store your card details. Our website uses SSL encryption throughout the checkout process.

Returns & warranty

A product in my order is defective or missing. What should I do?

Contact our team immediately at support@darwin-microfluidics.com with your order number, a description of the issue, and any supporting photos or documentation. We will assess the situation and arrange a replacement, repair, or refund in accordance with our warranty policy.

What is your warranty policy?

Darwin Microfluidics guarantees that products are free from hidden defects in design, materials, and manufacturing at the time of delivery. If you discover a hidden defect, you must report it within 72 hours of detection and no later than 12 months after delivery. Within the warranty period, we will replace, repair, or refund your product. Please refer to our warranty page for full details.

Can I return a product if I no longer need it?

Products may be returned within 30 days of delivery if unused, unopened, and in perfect resaleable condition. Returns are subject to a 15% restocking fee (minimum €25 / £25 / $25). The customer is responsible for return shipping and insurance. Consumables and perishable products are non-returnable. Original shipping charges are non-refundable.

How do I initiate a return?

Contact us at contact@darwin-microfluidics.com with your order number and reason for return. Our team will confirm eligibility and provide return instructions. Do not send items back without prior authorisation, as unauthorised returns cannot be processed.

Technical support

Can Darwin help me choose the right product for my experiment?

Yes. Our team of PhDs and engineers is available to help you select the right instruments, chips, tubing, and consumables for your specific application. Send us details about your experiment at contact@darwin-microfluidics.com and we will respond within one business day with a recommendation.

Do you provide application notes or setup guides?

Yes. Our blog at blog.darwin-microfluidics.com contains tutorials, application notes, protocol guides, and buying guides for common microfluidic applications including droplet generation, LNP synthesis, organ-on-chip, and cell sorting.

What if a product does not perform as expected?

Contact our technical team at support@darwin-microfluidics.com. We will troubleshoot with you directly and, where relevant, coordinate with the manufacturer. We stand behind every product we sell and will work to find a solution.

How quickly does your team respond to technical questions?

We respond to all technical enquiries within one business day, usually faster. For urgent experimental timelines, mark your email as urgent and we will prioritise your request.

Account & quotes

Do I need an account to order?

Yes. A customer account is required to place orders and request quotes on darwin-microfluidics.com. Creating an account also gives you access to order tracking, invoice history, and programs like the Lab Startup Program. Register at darwin-microfluidics.com/login.php — it only takes a few minutes.

How do I track my order?

Once your order ships, you will receive a confirmation email with a tracking number. You can also view your order status and tracking information by logging into your customer account on our website.

Can I get a volume discount for large orders?

Yes. For large single orders or recurring purchases, contact us at contact@darwin-microfluidics.com to discuss pricing. We work with core facilities, CROs, and biotech companies on custom pricing arrangements and standing orders for consumables.

Do you have a program for new labs?

Yes. Our Lab Startup Program offers a 5% discount on all orders over €500 for 6 months, for researchers setting up a new lab, starting a new team, or receiving their first grant. Find out more on our Lab Startup Program page.
